This topic outlines tasks to be undertaken following the completion of the general district court list.

Administering files

Follow the steps below to administer breach/application files following the completion of the district court list hearing.

Check each file to ensure the correct information is recorded within it.

Note any files which were subject to registrar's remand, recording the information in the file and court diary.

Check the court diary to ensure the outcome of the hearing is marked as well as forward-noting the diary on the next hearing date.

Shred information which is not required, such as additional previous convictions lists and summaries of facts, if the matter has been resolved.

Arrange for files to follow the administration procedure appropriate to the outcome of the case.

Arrange for the file(s) to be transferred to another office or returned to the supervising probation officer if appropriate.

Record file location in IOMS.

Not guilty files

  • Arrange for files where the defendant has pleaded not guilty to be sent to the probation officer responsible for prosecutions in that area.
  • Include any information that may be useful for prosecution purposes, i.e. hearing date, likely defence, etc.
  • State whether disclosure has been provided to the offender or counsel.
  • Record file location in IOMS.

Uncompleted tasks

Ensure any tasks not completed during the course of the court day are followed through. These may include:

  • reporting the outcome of matters for on-strength offenders to the supervising probation officers
  • completing information in the file, court diary and IOMS regarding the progress of CPPS breaches/applications
  • making IOMS case notes as appropriate
  • recording the presentation of oral reports in IOMS
  • collecting relevant court documents for remand PSRs, and
  • obtaining results from other courtrooms where it was not possible for a probation officer to be present.

Note: Check to see if any PSRs were requested.
