CPPS advised of sentence/order

When an offender is sentenced or released from prison, IOMS automatically generates a request to manage sentence in the CPPS application. The request goes into the "allocate request" functionality so that the case can be allocated to a probation officer.

If the sentence/order is…

then the…

a community-based sentence, a home detention (HD) sentence, or an extended supervision order

court forwards a copy of the sentence order to the nearest CPPS office.

The information will also be contained in IOMS (via the CMS interface).

parole and release on conditions

prison faxes a copy of the licence, conditions and notification of release to the CPPS service centre to which the offender has been directed to report.

The information will also be contained in IOMS.



Timeframe

The offender must be allocated to a probation officer as soon as practicable.

It is expected that offenders sentenced to HD or released on parole will have been allocated to a probation officer prior to sentencing or release from prison.

Multiple sentences

If an offender is subject to multiple sentences, where practicable the offender should be allocated to one probation officer.

Steps to take

The service manager is responsible for ensuring the steps to allocate an offender are followed.

Check IOMS for offenders due for allocation.

Check that the sentence order/release notice has been received.

Record the sentence order/release notice in IOMS, under the sentence or NZPB order received.

Set up/re-open the offender file (paper version).

  • Check the offender details, and
  • for parole, access and record the offender Prison Services (PS) security classification.

Review offender details against criteria for the offender warning system (OWS), if this has not already been done.

If the offender is a child sex offender currently serving any sentence/order for a child sex offence, complete the CSO9 CSO Notification Initial Identification form.

  • Enter details of actions in IOMS, and
  • allocate to an appropriate probation officer for ongoing assessment and sentence management.
