Quarterly project monitoring

Work projects are monitored quarterly, as follows:

  • The service manager prepares a work project report for the CWC and forwards it to the area manager.
  • The area or service manager spot-checks
    • work project sites, and
    • the records, spot-checking and initialing the work project progress log.
  • A quarterly analysis of the hazard register is carried out as outlined in the relevant CPPS Health and Safety manual.
  • Agencies are asked by the probation officer to provide feedback on the project to date, using the project sponsor evaluation format.

Note: Agencies must be provided with a stamped and addressed envelope to return their response to the area or service manager.

Ongoing monitoring

The service manager should monitor all work projects for the CWC on a weekly basis, or as regularly as is practical for the CWC and project, to ensure that each project is still suitable.

If a work project is found to be no longer suitable, the probation officer should:

  • consult with the area or service manager
  • explain the situation fully to the project sponsor in writing, and
  • take action to phase the project out.
Ongoing planning

The community work supervisor is responsible for planning the individual tasks to be completed on each reporting day. This planning must take into account the:

  • requirement for constant monitoring of offenders, and
  • objectives of the work project.
