Introduction

The probation officer must maintain a register of approved agencies and ensure that it is kept updated. This topic deals with the contents and maintenance of the register.

Agency files

The agency register is a list of approved agencies, and the type of work they do, and the number of placements available.

Agency files are subject to occasional audit checks to ensure that the work undertaken at the agency complies with legislative requirements.

Agency file contents

An agency file contains the original assessment of the agency, including:

  • the decision accepting or refusing the agency, with explanations
  • the agency’s details
  • a description of the agency’s eligibility under the Sentencing Act 2002
  • a full description of the work available, and
  • the disclaimer of responsibility.
IOMS records

When the agency is approved, create an agency record (if this is a new agency), including an agency contact person.
