Introduction

This topic outlines the roles and responsibilities in the administration of community work (CW) agency funding.

SCWS/Probation officer

The SCWS/probation officer provides the agency with:

  • information sheets about the funding
  • a ‘Community Work Agency Funding Application’ form.
Service manager

The service manager can assist the area manager with the application process by confirming the agency has:

  • been assessed and approved as an agency with CPPS
  • a current annual review
  • no outstanding issues that may compromise the integrity of the sentence or the Department.
Area manager

The area manager:

  • is responsible for the application process and ensures the approval and distribution of resources or grants are managed with integrity and based on sound judgment using the information provided
  •  makes decisions about funding applications
  • ensures that the area spreadsheet is maintained and updated to accurately reflect expenditure from the funding pool.
Business Information and Planning (BIP)

BIP is responsible for:

  • maintaining the area spreadsheet
  • managing the expenditure from the area cost code and providing regular updates to the area manager to ensure that overspending from this fund does not occur
  • paying monetary grants into the agency’s account
  • placing the orders with suppliers (such as Blackwood Paykels, CIE) 
  • ensuring that any invoices and or reimbursements are processed accordingly.
