Handling external requests
If any doubt exists about whether information can be released, the request should be referred to the Operations Help Desk at Head Office for advice.
All requests for information from ACC should be referred to Head Office.
Referring a request to Head Office
A request should be referred to the CPS Operations Help Desk if:
- the request is for a substantial amount of information
- any doubt exists about what information can be released
- the request is from ACC
- the request is controversial or is likely to become controversial
- withholding information is being considered
- the request will not be processed within the timeframe, or
- a charge for information is being considered.
Transferring requests
If a request is made for information that is held by another agency, the request can be transferred if:
- the information is not held by the Community Probation Service, but it is thought to be held by another agency, or
- it is believed the information is more closely connected with the functions of another agency.
If a decision is made to transfer the request:
- make the transfer promptly (not later than 10 working days after the date the request was received), and
- inform the requester of the transfer, and the reason for it.
